External Connections

Keep your customer list in step with the point-of-sale system your store already uses.

External Connections link SuitTracker to the point-of-sale system your store already runs, so a customer's contact details stay the same in both places. Add a customer at the register and they appear in SuitTracker; correct a phone number in SuitTracker and the register sees the correction. You keep one customer list instead of two.

Supported Systems

SuitTracker currently connects to:

  • Lightspeed Retail
  • RetailEdge

What Gets Synced

Connections cover customer contact details only — the information both systems have a use for:

  • • First and last name
  • • Phone number
  • • Email address
  • • Mailing address

Connecting

Connections are set up in Organization Settings under the External Connections tab. You need administrator access.

  • Lightspeed Retail — press Connect and sign in to Lightspeed. You approve the connection there and are returned to SuitTracker.
  • RetailEdge — press Connect and enter the access code and password issued to you by RetailEdge, along with a RetailEdge clerk ID, that clerk's password, and your location ID.

Choosing a Direction

Each connection has a sync direction you can change at any time from the same settings tab.

Direction What happens
Two-way sync Changes made in either system reach the other. The usual choice.
SuitTracker to your POS only SuitTracker sends its changes out. Changes made at the register are left alone.
Your POS to SuitTracker only SuitTracker takes changes in but never writes to the other system.

Deleting Customers

SuitTracker never deletes a customer from a connected system. Deletion is never sent outward, in any sync direction.

Deleting a customer in SuitTracker removes them from SuitTracker only. Their record in your point-of-sale system is left exactly as it was, and SuitTracker simply forgets that the two were connected.

The same holds in reverse. If a customer is deleted at the register, SuitTracker leaves its own copy in place rather than removing it. Deleting a customer from both systems means deleting them in each one.

Keeping It Running

Once connected, syncing runs on its own, there is nothing to start or schedule. Changes made in SuitTracker are sent out shortly after you save them, and changes made in the other system are collected automatically throughout the day. The Last Sync time on the settings tab shows when the connection last checked in.

The first sync after connecting takes longer than later ones, as it works through your existing customers. After that only new and changed records move.

Disconnecting

Press Disconnect on the connection to stop syncing. Customer records in both systems are left untouched, disconnecting only stops future changes from being exchanged and clears the stored credentials.
